| 05 / Data and controls | Every privacy and admin setting, and where to find it. |
| 06 / Sources | Sources for every fact. |
02 / The method
Ten steps, three stages
Lock the tool down first. Then let it build your setup. Then check it works.
Lock it down
| When | Now |
|---|---|
| Where | This pack |
Use the guide for the tool your firm has approved. If you use two tools, set up one at a time.
| When | Before anything else |
|---|---|
| Where | The tool's sign-in page |
Check your plan matches For firm work on the guide's cover. Personal accounts are for personal use.
| When | Before your first real question |
|---|---|
| Where | The paste map, column 1 (section 03) |
This stops the tool learning from what you type.
Build it
| When | Right after you turn off training |
|---|---|
| Where | A brand-new chat in the tool |
Copy everything in the dark box in section 03 of your guide, from You are my setup chief of staff to the last rule. Paste it and press send.
| When | As it asks them, one at a time |
|---|---|
| Where | The same chat |
Answer in plain words. About your role, your tasks, and how you like answers. Never give client names, account numbers, or passwords.
| When | When it gives you part a) |
|---|---|
| Where | The paste map, column 2 (section 03) |
Copy the text it wrote under a). Paste it in, then save. Every new chat now starts with it.
| When | When it gives you part b) |
|---|---|
| Where | The paste map, column 3 (section 03) |
Create each workspace it suggests. Paste that workspace's instructions into it. Add the files it lists.
| When | When it gives you parts c) and d) |
|---|---|
| Where | The tool's settings |
Set up the assistants or skills from part c). Then tick off every privacy setting on the checklist in part d).
Check it
| When | Straight after setup |
|---|---|
| Where | A new chat |
Paste each of the three test prompts it gave you. If an answer misses, tell it what was wrong and ask for better instructions. Paste the new version over the old one.
| When | The first working day of each month |
|---|---|
| Where | Memory and connector settings |
Delete anything it remembers that is out of date. Remove apps you no longer use. Section 05 of your guide lists every setting to check.
03 / The paste map
What goes where, for each tool
Read across the row for your tool, left to right. The master prompt always goes into a brand-new chat, in every tool.
| Tool | 1. Turn off training | 2. Paste your instructions | 3. Build workspaces |
|---|---|---|---|
| ChatGPT | Settings > Data controls > Improve the model for everyone | Settings > Personalization > Custom Instructions | Sidebar > New project, then ••• > Project settings |

| DeepSeek | Settings > Data controls > Improve the model for everyone | Paste your preamble at the top of each new chat | Save the prompts in your notes app |
If a menu looks different
These tools move their menus often. Use the search box in the tool's settings, or ask the tool itself: "Where do I turn off training in your settings?"
04 / Ground rules
Safe from day one
- Passwords, API keys, or access tokens
- Client names, account numbers, or holdings
- Material non-public information
- Personal data about staff or members
- Anything under a confidentiality agreement
- Use your work account and your firm's approved tool
- Turn off training before your first real question
- Check every number and source it gives you
- Have a person sign off before anything leaves the building
Setting it up for a team
| The administrator | Chooses the tool and the business plan. Locks the admin settings in section 05 of that tool's guide. |
|---|---|
| The team lead | Builds one shared workspace with the team's instructions and reference files, then shares it. |
| Each person | Runs the master prompt for their own instructions. It takes one conversation. |
Do Meta AI and DeepSeek differently
Meta AI is for personal use only. For DeepSeek, use the hosted app only for public information, or run the model on your own hardware. Each guide explains why.
05 / Going further
When you want your own private model
Some work is too sensitive for any outside tool. For that, an institution can run its own model on its own hardware.
| Read | Sovereign intelligence, explained, the briefing in this pack. |
|---|---|
| Start with | Section 01, the short version. Then section 11, on sh4pe. |
| Who it is for | Chief investment officers, chief compliance officers, and general counsel. |
| Talk to DAP | info@dap.solutions or dap.solutions |
